The Scottish Game Fair is looking for a Volunteer Coordinator to recruit and manage our team of volunteers for the 2019 event on 5,6 and 7 July in the parklands of Scone Palace.
The coordinator will work with our Scottish Game Fair Committee (of which they will be a member) to ensure all volunteer posts are advertised and then fulfilled. The post holder will set up the registration marquee and then manage the volunteers on event days as they arrive, ensuring that they are deployed to their manager/area with the right briefing and any kit they might need.
We have lots of fantastic, loyal volunteers who come each year, along with a number of new recruits. The posts available for volunteers are extremely varied! The team might be doing anything from litter picking to helping score a gundog competition – and everything in between. We want our volunteers to have a great time working at the fair – so making their experience well organised, sociable and fun is an essential part of this job.
The Coordinator will be an excellent communicator and will have some experience of briefing staff or volunteers, scheduling and rotas, and an understanding of the importance of Health & Safety. With a good knowledge of Microsoft packages including excel and word, the Volunteer Coordinator will be comfortable communicating with email. Volunteers apply through our website and require regular contact, so the post is suited to someone who is available to respond regularly and in a timely fashion.
- This post reports to the Fair Manager.
- Training and a full handover will be provided to the new Volunteer Coordinator.

The Volunteer Coordinator is responsible for:
1. The organisation of the all aspects of volunteer activity at the Fair, including:
a. The recruitment of suitable volunteers through the development and implementation of a recruitment plan. The media aspects should be developed in conjunction with the Fair’s Marketing Consultant.
b. The allocation of tasks, briefing and management of all volunteers working at the Fair.
c. The close liaison with those managers who require volunteers to support their work at the Fair (Role Supervisors), including confirming the skills and numbers of volunteers that each require.
d. The provision of a Risk Assessment for the volunteers in conjunction with the Fair Manager. The Volunteer Coordinator will also ensure that all volunteers are briefed about and comply with the Health & Safety instructions.
e. The layout of any Volunteer areas in consultation with the Fair Manager and the Site Manager.
f. The organisation of an induction process for all volunteers.
g. The liaison with any sponsors of the volunteer activity in conjunction with the Sponsorship Coordinator who is responsible for negotiations and agreements with sponsors.
2. Attending such meetings as may be required from time to time including meetings of the full Game Fair Committee.
